Information

Legal deposit legislation serves to safeguard the cultural heritage at national and regional level. In order to build the national and regional archive, a total of four copies of each publication must be submitted.

The National Libraries in Rome and Florence are responsible for building the national archive – while the German Provincial Library Dr. F. Teßmann and the Italian Provincial Library Claudia Augusta are responsible for creating the regional archive. The publications are preserved and indexed in these libraries.

One copy must be sent to the National Library in Florence, and one to the National Library in Rome.

Newspapers and magazines in German and Ladin
Books, brochures, geographical and topographical maps, atlases, posters, flyers, leaflets, prospectuses, printed music and similar publications in connection with public events of corporations and associations, as well as art graphics and photographs intended for publication (in all languages).

Two copies of the following media genres must be submitted to the Provincial Library Claudia Augusta at the delivery address for regional legal deposit copies: Regionales Pflichtexemplarrecht - Ablieferungsstelle Audiovisuelle Medien, Marconistraße 2, 39100 Bozen:

Newspapers and magazines in Italian
Music and video productions, art graphics and artistic videos, films (including digitally assisted), microform editions (on photochemical data carriers such as negatives), general documents on computerized data carriers (such as CD-ROMs, DVDs etc.) (in all languages).

Newspapers and magazines can also be submitted cumulatively. In these cases, please clarify the procedure with the person responsible.

Designation:
In accordance with the law, the following wording must be indicated on each copy: “esemplare fuori commercio per il deposito legale agli effetti della legge 15 aprile 2004, n. 106”. This wording and the sender´s address must also appear on the envelopes/covering material used. To simplify this, we provide a label template on the home page.

List:
The consignment must be accompanied by a list in duplicate that unambiguously identifies the respective copies and the submitting institution. Here too, in order to simplify and standardise the procedure, we have created a template and ask you to use this exclusively. You will receive a countersigned copy of the list after it has been checked by the respective library, which must be kept as a confirmation note.

The publisher or the legally responsible editor is responsible for submission. In the absence of these, the printing firm is obliged to submit the copies.

The submission must be made within 60 days of the work being published.

In principle, all documents or editorial products intended for the public are subject to legal deposit. It is irrelevant whether they are sold or given away or whether they are produced and distributed in analogue or digital form. However, excerpts, print samples, blank forms, unaltered reprints, documents for internal or private use as well as ordinary advertising materials for the retail trade are excluded from legal deposit legislation.
